Parade Volunteer Plan

(Event Date: February 20, 2012 133 Total Volunteers)

Volunteers who are Parade Marshals are encouraged to volunteer in a set-up or tear-down activity as well. Each of the following jobs needs at least one Team Leader. If the volunteers feel more comfortable, they can have co-leaders. Ideally, the Team Leaders and Marshals will have either worked on a parade in the past, or may have been the leader of a marching unit and have some familiarity with the way parades are organized. But, we’ll take any and all volunteers – regardless of experience. Training for all volunteers is at 2:00 p.m. on Sunday, February 12, 2012 at the American Legion (400 Cameron Street). Parking is available in the commercial lot due West of the building and it is usually free on Sundays..

 

Volunteer Activity: Reviewing Stand Set-up

Time: 9:30 a.m.

Supplies: Set up plan and specifications.

Description: Receive delivery of reviewing stand equipment. Set up according to specifications. This activity requires about one hour to complete and necessitates some heavy lifting by some of the volunteers (risers, tables, and chairs).

 

Volunteer Activity: Start Point Set-up

Number: 2

Time: 9:30 a.m.

Supplies: Set up plan and specifications.

Description: Receive delivery of information booth equipment. Set up “Parade Information” sign, 4 tables, and 10 chairs according to specifications. This activity requires about one-half hour to complete. Rest room facilities should be checked to make certain that they are open and accessible.

 

Volunteer Activity: Signs Set-up

Time: 9:30 a.m.

Supplies: Instructions, signs, wire, wire cutters, private vehicle.

Description: 

 

Volunteer Activity: Parade End Point Disbursal

Number: 2

Time: 11:00 a.m.

Supplies: Order of March.

Description: Directs units at the end of the Parade so that an orderly disbursal of units occurs.

 

Volunteer Activity: Parking Control

Number: 8

Time: 9:30 a.m.

Supplies: Orders of March and assigned parking list.

Description: Maintains control of Parade Parking Areas at Lyles-Crouch School, St. Mary’s School, and Jones Point Road Parking Lots. Assures that those parking at these locations have the necessary credentials and helps to maintain order at these locations.

 

Volunteer Activity: Perimeter Control

Number: 15

Time: 9:30 a.m.

Supplies: Order of March and assigned parking list.

Description: Directs Parade Participant traffic to assigned assembly and parking areas.

 

Volunteer Activity: Dignitary Host

Number: 30

Time: 10:30 a.m. (and pre-Parade)

Supplies: Smile and a helpful attitude.

Description: Coordinates arrival with the dignitary (as to where to park and assisting them to the dignitary assembly area). Then, with the Chief Marshal, coordinates the placement of the dignitary in a vehicle, assists with signage (if necessary) and otherwise makes certain that the dignitary is informed, comfortable and happy.

 

Volunteer Activity: Special Guest Host

Number: 10

Time: 10:30 a.m. (and pre-Parade)

Supplies: Smile and a helpful attitude.

Description: Coordinates arrival with the special guest (as to where to park). Then, makes certain the special guest gets to the proper assembly area, coordinates the placement of the special guest in their assigned vehicle, assists with signage (if necessary) and otherwise makes certain that the special guest is informed, comfortable and happy.

 

Volunteer Activity: Vehicle Driver

Time: 9:30 a.m.

Supplies: Maps of Parade Route and Assembly Area; specific pick-up instructions.

Description: Procures vehicles donated by dealerships, assists dignitaries to getting into vehicles. On command of the Parade Marshal, drives each dignitary through the Parade and back to the Reviewing Stand. Then returns vehicles to the dealership.

 

Volunteer Activity: Parade Marshal

Number: 18

Time: 9:30 a.m.

Supplies: Specific Division Instructions, clip board, badges, Division Sign, Check-in Information, Orders of March.

Description: Line up Parade Participants in specified order, confirm that each Unit has checked in, provide badges for each Unit Leader, report unit status, and maintain order & readiness. Marshals will march with their Divisions helping to maintain the proper pace and interval up to the Reviewing Stand area. Also responsible for assisting in the overall enjoyment of the Parade by participants. This is the primary, and most important position in the Parade Organization. 

 

Volunteer Activity: Information Booth

Number: 4

Time: 10:30 a.m.

Supplies: Instructions, Parade Badges, Parade Hats, Event Staff Vests, Division Signs, Maps of Parade Route & Assembly Area, Marshals Orders of March, and Parade Patches.

Description: Personnel will be responsible for handing out materials to Parade Marshals and Parade Participants. Will also be responsible for helping Parade Participants (groups and individuals) locate their assembly areas and providing general assistance as needed.

 

Volunteer Activity: Reviewing Stand Tear-down

Number: 4

Time: 3:00 p.m.

Supplies: 

Description: Assist commercial crew in taking down the Reviewing Stand equipment, remove trash, take leftover food and drink to the American Legion Hall, and secure any Parade Equipment (such as Event Staff Vests, Parade Hats, and Parade Patches).

 

Volunteer Activity: Start Point Tear-down

Number: 2

Time: 3:00 p.m.

Supplies: 

Description: Secure all Event Staff Vests, Parade Patches, and other equipment. Tables and chairs should be folded and

 

Volunteer Activity: Signs Tear-down

Number: 2

Time: 3:00 p.m.

Supplies: Instructions, signs, wire, wire cutters, private vehicle.

Description: Take down all signs and remove wire. Signs will be taken back to the Start Point where they will be picked up. Check all Parade Divisions to make certain that all signage is removed.

 

Volunteer Activity: Equipment Delivery and Pick-up

Number: 2

Time: 9:30 a.m. and 3:30 p.m.

Supplies: Pick-up Truck or like vehicle, instructions, items list, special map.

Description: Delivers Parade Equipment and Signage and returns same to a specified location at the end of the Parade.
